Guest Post
This guest post is from Ulrich Riedel. Ulrich is the creator of Organisemee – a web-based collaborative task management application. His 16 years of experience managing medium and large-scale business processes and IT projects have taught him a lot about achieving high levels of productivity. He has learned how to effectively manage goals and milestones and mastered the art of defining and executing tasks. Organisemee was designed according to his direct experiences dealing with various tasks and functions.
In today’s busy life there are many things to do, and often the days aren’t long enough to accomplish them all. The good news is: There are techniques and tools out there that can help you handle your tasks and get them done on time.
We at Organisemee strongly believe that a technique should be easy to understand, so that using that technique does not put an extra burden on your shoulders. The common technique that most of us are accustomed to is the To-Do List. We have relied on the To-Do List with our complex projects and ordinary tasks, e.g. preparing for examinations, vacations, and gift ideas.
Plan Your Tasks With Lists
Lists also stimulate us to think about ‘What else do I need to do?’. You start looking at the bigger picture, and not just at the individual tasks. Naturally, you will create a sequence for execution, and you’ll see what’s still missing. Therefore, lists are a good planning tool, too. And good planning is the basis for efficient execution.
That is why we created Organisemee – a web-based task list application. Just create lists for topics most relevant to you, e.g. shopping, project, telephone calls or correspondence. Start with few lists. Split a single list if you think there are too many tasks in it. Your organization system will not be created at once but gradually – it will evolve as you process your tasks.
There are techniques and tools out there that can help you handle your tasks and get them done in time.
You can filter tasks by priorities and by scheduled due dates, so you can see what’s important and what to do next. And you can sort the tasks in each list manually in the order you want to execute ‘em.
Get Reminded To Do Your Tasks On Time
Besides planning and structuring, a good web-based task management system should free you from the need to keep your entire tasks in your mind all time. David Allen calls the resulting positive feeling ‘mind like water’. That is why Organisemee provides a strong reminder function. You can get reminded up to 9 days before due date, up to three times a day, by email and messenger – and even by free SMS on your mobile phone. We are sure: You will never miss a task again!
Delegate – Not Just Share – Tasks
There are tasks you want your spouse, family members or colleagues to get done. To get somebody to execute a task means you need to assign a clear responsibility. In Organisemee you can delegate tasks to other users – your contacts (like friends in Facebook). When a contact accepts a task it becomes part of his task list and need to be executed by him. Still the task is visible to you, so you have the transparency if your contact has finished it in time or is running late. With this, your spouse or colleague can never say you did not tell him to bring the milk or prepare the presentation.
But even the best tool can only support you so much – you still need to adopt procedures and get insights how to improve on them. Here, Organisemee offers insights on its website – and provides daily tips as well as links to great articles and blogs via our twitter account. Give it a try – and see how Organisemee can support you in getting things done on time.
Admin’s Note: This is not a paid post (in case you’d ask). I requested Ulrich to write this article for those who might want to try this awesome productivity tool. You might see more posts about products or applications written by their owners or creators themselves. This is because I want these products or applications seen under the light of their owner’s or creator’s view – the way they are intended to be consumed or used. But I will have my own personal take on some products or applications from time to time.

Two good points here. One we need reminders of scheduled tasks because I know that I will forget. I write important dates on my calendar and my to do list on a yellow legal pad.
Delegating tasks is very important if you want to avoid getting burned out. We can’t do everything by ourselves.
